If so, we have an exciting opportunity for you to join our team as an Administrative Assistant at our family-owned Farm and Ranch Supply Sales and Distribution Company! As an Administrative Assistant, you will play a crucial role in ensuring the smooth operation of our office by providing efficient and effective administrative support to our team.
Responsibilities:
- Answer and direct phone calls in a friendly and professional manner, providing assistance or routing calls as necessary.
- Schedule appointments, meetings, and conference calls, ensuring that calendars are updated and organized.
- Assist with note-taking during meetings and distribute meeting minutes to relevant individuals.
- Process payments and invoices accurately, ensuring proper documentation and record-keeping.
- Follow up with customers regarding inquiries, orders, and outstanding payments.
- Manage and organize files, documents, and records, both physical and electronic.
- Provide general administrative support, including data entry, typing, and maintaining office supplies.
- Assist with the coordination of events, trade shows, and customer visits.
- Collaborate with other team members to ensure seamless communication and coordination.
Requirements:
- High school diploma or equivalent.
Further education in business administration or a related field is a plus.
- Proven experience as an administrative assistant or in a similar role is preferred.
- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Strong written and verbal communication skills, with a professional and courteous demeanor.
- Proficiency in MS Office suite (Word, Excel, Outlook) and other relevant software applications.
- Exceptional attention to detail and accuracy in handling administrative tasks.
- Ability to maintain confidentiality and handle sensitive information with professionalism and discretion.
- Excellent problem-solving skills and the ability to work both independently and collaboratively.
- Previous experience in the agriculture industry or familiarity with farm and ranch supply products is a plus.
- Valid driver's license and reliable transportation.
